Job Title: Driver

  • The Driver position in the Office normally falls under direct supervision of the senior Administrative Assistant.
  • The incumbent is responsible for up keep and maintenance of the assigned UNHCR vehicle(s) as per technical guidance and specifications established by the organisation.
  • He/she is required to follow strict instructions and security guidance provided by the supervisor. While basic function of a Driver is to drive the official vehicles of UNHCR, he/she may be called upon to perform minor maintenance and repair of UNHCR vehicles.
  • The incumbent has regular contacts with staff within UNHCR office and with service providers outside UNHCR involving a limited exchange of information.

Under the direct supervision of the Administrative Assistant, the incumbent will have the following responsibilities:

  • Drive UNHCR vehicles for the transport of authorized passengers and delivery and collection of mail, documents, UNHCR pouch and other items.
  • Meet official personnel at the airport and facilitate immigration and customs formalities as required.
  • Perform day-to-day maintenance of the assigned vehicles; check oil, water, battery, brakes, tires, etc. and ensure that the assigned UNHCR vehicles are road worthy and maintained up to the established security standards.
  • Perform minor repairs and arrange for other repairs and ensure that the vehicle is kept clean.

Job Title: Senior Human Resources Assistant

Context, Duties and Responsibilities

  • Senior Human Resources Assistant will function under direct supervision of the Associate Human Resources Officer, assisting him/her in personnel administration and other HR related matters, including the process of recruitment and appointment of staff, and in the performance management and welfare issues of staff under area of responsibility (AOR).

The incumbent will have the following responsibilities:

  • Assist in the recruitment, assignment, reassignment and separation of local general service staff. Prepare documents for the interview panel for the recruitment of local staff.
  • Process local staff members’ contracts, entitlements and benefits in accordance with Staff Rules and established HR procedures.
  • Update personnel related information in MSRP/HR module upon receipt of update access.

  • The Supply Associate manages and supports all activities pertaining to the supply chain function including planning, sourcing, transport shipping, customs clearance and warehousing management in the Country Office purview. The incumbent is supervised by the Supply Officer who defines general work objectives and provides necessary advice and guidance. The incumbent may supervise some staff in the office.   • The Protection Associate will also ensure that persons of concern are involved in making decisions that affect them, whether in accessing their rights or in identifying appropriate solutions to their problems.

  • The incumbent is normally supervised by the Head of office who defines general work objectives and provides necessary advice and guidance while the Admin/Finance Officer in the sub office will provide technical oversight and support on the daily tasks of the incumbent.
  • The Admin/Finance Associate may supervise some support staff in Adikpo field office.
  • The incumbent keeps frequent contacts with staff at various levels in the office and occasionally with staff at the same level in other duty stations and/or Headquarters; with local suppliers, banks and financial institutes on subject matters which may be of importance to the Organization.

Under the direct supervision of the Head of Field Office the incumbent will have the following responsibilities:

  • Performs personnel administration tasks including interpretation and processing entitlements, issuance of contracts and maintenance of various personnel records and files;
  • Assists in conducting preliminary interviews of candidates, administering typing exams and recruitment of GL staff;

Context, Duties and Responsibilities

  • The incumbent normally receives guidance from the CBI Officer in the Sub-Office. He/she may receive indirect guidance from other sections and units relevant to the country programme(s).
  • UNHCR Manual, Operations Plans, UN and UNHCR financial/budgetary rules and regulations will guide the work of the Programme Associate.
  • S/he is expected to stay abreast of the challenges posed to the region by the political context, the UN and humanitarian reform and institutional developments.
  • Contacts are mainly with the colleagues in the same duty station to exchange information and to discuss the work plans.
  • External contacts are with the national and local authorities for gathering and exchange of data.

Job Responsibilities
Under the direct supervision of the CBI Officer the incumbent will have the following responsibilities:

  • Manage the use, maintenance and technical support of databases used in the cash based interventions.
  • Generate statistical reports based on the standard reporting formats and ad-hoc reports, charts and tables as required by the management.
  • Prepare and administer accurate lists of beneficiaries for the regular assistance through bank ATM/IRIS system in line with the procedures established by the office.
  • Assist in developing and administering UNHCR Regular Cash based Intervention database.
  • Assist in the monthly reconciliation and refund process for the cash assistance project.
  • Assist in preparing detailed reports and breakdown of the cash assistance provided to the refugees.
  • Cross-check databases to ensure that all beneficiaries are active cases.
  • Keep cash lists updated and free of duplications and ensure delivery of cash assistance to beneficiaries in a timely manner.
  • Maintain relationships with partners to facilitate the flow of information between databases,
  • Assist with the training of internal staff and partners on how to use the database,
  • Execute best practice in data protection standards and help to positively influence others,
  • Troubleshoot issues with the database and work with internal teams to provide technical fixes,
  • Inform and act on the reports and messages that are received from various units on different vulnerable cases in respect to financial assistance.
  • Support in the co-ordination with different IPs, Ops and focal points on lists of beneficiaries reflecting situation of cash assistance.
  • Undertake missions and field visits to bank service provider to monitor the cash project.
  • Undertake other relevant duties as required.

Essential Minimum Qualifications

  • Completion of secondary education with certificate/training in Information Technology & Database Management.
  • Minimum 6 years of previous data management experience, preferable in CBI context.
  • Excellent knowledge of computer software and database applications.
  • Experience in Microsoft SQL Server (2005 or later).
  • Fluency in English and working knowledge of another relevant UN language or local language.

Desirable Qualifications & Competencies

  • Knowledge of UNHCR programmes and activities.
  • Experience in cash-based interventions, particularly in a refugee response context.
  • Working experience in C# and ASP.net.
  • University level course in Computer Science or related fields with components related directly to data management.
  • Working experience with statistical software such as R, Python, Stata etc.
