We are recruiting to fill the position below:<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Job Title: Administration Officer<\/strong><br \/>\n<strong>Location:<\/strong> Ilupeju, Lagos<br \/>\n<strong>Employment Type:<\/strong> full-time<br \/>\n<strong>Reporting Line:<\/strong> Head, HR \/ Admin<\/p>\n<p><strong>Job Summary<\/strong><\/p>\n<ul>\n<li>Provide administrative services and support to all departments of the Company by managing the services and processes that support the core business of the Organization.<\/li>\n<li>Monitor to ensure compliance with all Company policies, procedures and standards.<\/li>\n<li>Ensure compliance with all Local, State and Federal Governments\u00e2\u20ac\u2122 statutory requirements.<\/li>\n<li>Coordinate and manage the Company&#8217;s vehicle fleet<\/li>\n<li>Ensure the buildings and grounds and HSE standards are maintained.<\/li>\n<\/ul>\n<p><strong>Core Working Relationships:<\/strong><\/p>\n<ul>\n<li>HR \/ Admin Team<\/li>\n<li>Logistics \/ Procurement Team<\/li>\n<li>Accounts \/ Finance Team<\/li>\n<li>Management Team<\/li>\n<li>Commercial Team<\/li>\n<li>Technical Team<\/li>\n<li>Production Team<\/li>\n<\/ul>\n<p><strong>Task Complexities<\/strong><br \/>\nFacility Management:<\/p>\n<ul>\n<li>Determine and schedule regular repairs, renovation projects, waste reduction improvements as well as Health, Safety and Environment (HSE) inspections.<\/li>\n<li>Ensure all appliances i.e. phone lines, lightings, air conditioners, printers, photocopiers, computers and scanners are in good working condition.<\/li>\n<li>Ensure the efficient and effective management of the guest houses, company housing and all assets.<\/li>\n<li>Ensure effective and efficient facility management.<\/li>\n<li>Ensure that the quarterly routine maintenance of company vehicles and equipment (e.g. air-conditioners, cars, generator etc) is carried out.<\/li>\n<\/ul>\n<p><strong>General Administration:<\/strong><\/p>\n<ul>\n<li>Ensure prompt payment of all utility bills i.e. PHCH, Telephone, and LAWMA etc.<\/li>\n<li>Ensure that reasonable maintenance and supply costs are maintained through effective negotiations.<\/li>\n<li>Prepare expense and cash vouchers and ensure that the Admin Expense and Petty Cash Priority List is updated daily; with accurate periodic submission to Head, HR\/Admin, Finance and management<\/li>\n<li>Maintain accurate Asset Register in alignment with Accounts\/Finance department records.<\/li>\n<li>Collaborate with the Head, HR\/Admin to ensure that the company\u00e2\u20ac\u2122s health and safety regulations are adhered to by all employees.<\/li>\n<li>Liaise effectively with all government agencies and regulatory bodies<\/li>\n<li>Compile weekly activity report on Admin matters for HR\/Admin department repor<\/li>\n<li>Undertake additional tasks or projects as assigned by the head of Department or authorized officers.<\/li>\n<li>Liaise with service vendors and monitor the job contracted to them.<\/li>\n<li>Ensure efficient and effective inventory management and supply for Office Provisions, Stationery and Consumables.<\/li>\n<li>Maintain a comprehensive and accurate filing system on Administrative matters.<\/li>\n<\/ul>\n<p><strong>Logistics Management:<\/strong><\/p>\n<ul>\n<li>Ensure all management cars and pool cars are fueled and maintained efficiently by drawing up a maintenance schedule and following it. Also ensuring that<\/li>\n<li>Renewal of vehicle documents promptly.<\/li>\n<li>Ensure that transport activities are managed efficiently and with minimized cost<\/li>\n<li>Manage drivers&#8217; deployment and administration<\/li>\n<\/ul>\n<p><strong>Expatriate management:<\/strong><\/p>\n<ul>\n<li>Ensure accurate monthly Expatriate Quota Returns are submitted and signed by the relevant authorities at the end of each month<\/li>\n<li>Support the management all Expatriates and ensures all their documentation is up to date (visa renewals etc.)<\/li>\n<li>Liaise with relevant immigration officials and keep abreast of immigration laws<\/li>\n<li>Assist with compilation and submission of the monthly expatriate returns to the Nigerian Immigration Service<\/li>\n<\/ul>\n<p><strong>House-Keeping:<\/strong><\/p>\n<ul>\n<li>Compile and monitor daily and weekly cleaning schedules<\/li>\n<li>Supervise the cleaners to ensure cleanliness for all facilities, equipment, instruments i.e. the admin block, factory, toilets, machinery etc.<\/li>\n<\/ul>\n<p><strong>Key Job Attributes<\/strong><br \/>\nGeneric:<\/p>\n<ul>\n<li>Strong organization skills and a problem-solving attitude<\/li>\n<li>Results driven with ability to meet deadlines<\/li>\n<li>Attention to details<\/li>\n<li>Communication Skills (Verbal, written and listening)<\/li>\n<li>Strong Interpersonal Skills<\/li>\n<li>Team Spirit<\/li>\n<\/ul>\n<p><strong>Technical:<\/strong><\/p>\n<ul>\n<li>Knowledge of people management<\/li>\n<li>Proven knowledge of office procedures<\/li>\n<li>Proficiency with Microsoft Office Package(Word, Excel, Powerpoint)<\/li>\n<\/ul>\n<p><strong>Education &amp; Experience<\/strong><br \/>\nEducation:<\/p>\n<ul>\n<li>A first degree in Social Sciences or Arts<\/li>\n<\/ul>\n<p><strong>Experience:<\/strong><\/p>\n<ul>\n<li>Minimum of 4 years relevant work experience in a manufacturing\/production company<\/li>\n<li>Previous experience in expatriates&#8217; management is an added advantage<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>To Apply<\/strong><\/p>\n<p>Interested and qualified candidates should send CV to: <a href=\"mailto:human.resources@iofurnitureltd.com\"><strong>human.resources@iofurnitureltd.com<\/strong><\/a> using the Job Title as subject of the email<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Application Deadline:\u00a0<\/strong>31st October, 2020.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>IO Furniture Limited is a full-service interior design and furniture manufacturing company, characterized by our uncompromising quality and innovative design solutions.
