Report to: CEO\/HR Manager
\nJob Summary: To provide secretarial, administrative and human resource support<\/p>\n

Main Areas Of Responsibility:
\n\u2022 Management of the CEO\u2019s diary and appointments;
\n\u2022 Help CEO manage output, workflow and office deadlines;
\n\u2022 Take and relay accurate and timely messages from telephone callers, and answer queries, enquiries and requests when appropriate;
\n\u2022 Draft, type and dispatch all the CEO\u2019s correspondence;
\n\u2022 Liaise with relevant individuals, external organisations etc to arrange meetings, prepare agendas and draft minutes;
\n\u2022 Maintain a comprehensive filing system;
\n\u2022 Co-ordinate CEO\u2019s travel and accommodation in conjunction with in-house travel group and occasionally, travelling with the manager to take notes at meetings or to provide general assistance during presentations;
\n\u2022 Tabulate and retrieve CEO\u2019s official expenditures and claims;
\n\u2022 Handling incoming emails and posts, often corresponding on behalf of the manager;
\n\u2022 Carrying out background research and presenting findings;
\n\u2022 Generating documents, reports and presentations;
\n\u2022 Liaising with clients, suppliers and other staff.<\/p>\n

HR Management
\n\u2022 Maintaining personnel files (both electronic and hard copy);
\n\uf0fc Filing necessary documents
\n\uf0fc Providing necessary information to Finance and other colleagues
\n\uf0fc Providing information needed by colleagues in their own files
\n\u2022 Assisting HR Manager with recruitment for open positions within firm and on behalf of clients
\n\uf0fc developing job descriptions
\n\uf0fc preparing and placing advertisements on relevant sites and papers
\n\uf0fc short-listing suitable candidates
\n\uf0fc following up with candidates\/arranging interviews
\n\uf0fc following up on references
\n\u2022 Undertake any other duties as requested by the CEO\/HR Manager<\/p>\n

Profile:
\n\u2022 Excellent written and oral communication skills;
\n\u2022 Excellent interpersonal skills;
\n\u2022 Excellent Organisational and Time Management skills;
\n\u2022 Ability to research, digest, analyse and present material clearly and concisely;
\n\u2022 The ability to work on your own initiative;
\n\u2022 Honesty and reliability;
\n\u2022 Attention to detail;
\n\u2022 Flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines;
\n\u2022 Professional telephone manner ;
\n\u2022 Proven ability to work under pressure and to tight deadlines;
\n\u2022 Bright, confident personality;
\n\u2022 Well presented;
\n\u2022 Highly personable;
\n\u2022 Flexible and mature approach with ability to work unsupervised;
\n\u2022 An understanding of confidentiality issues and the use of discretion;
\n\u2022 Excellent word processing and I.T. skills, including knowledge of a range of software packages; most importantly- MS Word, MS Excel and MS PowerPoint;
\n\u2022 Ideally educated to degree level in a related field from a reputable university;
\n\u2022 A minimum of one year administrative\/secretarial experience in a reputable organisation;
\n\u2022 Not over 28 years of age<\/p>\n
