IRC\u2019s Emergency Response Team, with local partner, Civil Society Coalition for Poverty Eradication (CISCOPE), implemented projects to support food security, livelihoods, nutrition and WASH in Kogi State.<br \/>\nThe IRC Nigeria country program is implementing multi-sectoral interventions in the sectors of: Health and Nutrition; Environmental Health; Child Protection; Education; Women\u2019s Protection and Empowerment; Food Security and Livelihoods and Protection. Most of these programs are driven in partnership with strategic local NGOs.<br \/>\nWe are recruiting to fill the vacant position below:<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Job Title:\u00a0Admin\/Human Resource Assistant<\/strong><br \/>\n<strong>Location:<\/strong>\u00a0Maiduguri, Borno<br \/>\n<strong>Start Date:<\/strong>\u00a0Immediately<br \/>\n<strong>Duration:<\/strong>\u00a01 year ( renewable)<br \/>\n<strong>Salary Band:<\/strong>\u00a09 \u2013 this position is open only to Nigerian nationals<br \/>\n<strong>Scope of Work<\/strong><\/p>\n<ul>\n<li>Assists the Field Office ADM\/HR lead in his human resources management and administration roles.<\/li>\n<\/ul>\n<p><strong>Responsibilities\u00a0<\/strong><br \/>\n<strong>Assist the field office ADM\/HR Lead in recruitment, orientation and integration:<\/strong><\/p>\n<ul>\n<li>Job advertising.<\/li>\n<li>Receiving candidates<\/li>\n<li>Pre-screening and shortlist candidates<\/li>\n<li>Organize candidates written tests and interviews<\/li>\n<li>Publish recruitment results<\/li>\n<li>Prepare hiring documents.<\/li>\n<li>Preparing and support onboarding\/transition process for the new hires staff or transferred staff<\/li>\n<\/ul>\n<p>Assist the field office ADM\/HR Lead in performance management and staff development:<\/p>\n<ul>\n<li>Receive and file staff performance reviews<\/li>\n<li>Monitor deadlines and needed reminders<\/li>\n<li>Compile staff development needs<\/li>\n<li>Prospect potential training providers.<\/li>\n<li>Ensures that training completion reports are submitted.<\/li>\n<li>Established and keep up to date the list of employees who received training paid by IRC<\/li>\n<\/ul>\n<p>Assure Staff Filing and Administration:<\/p>\n<ul>\n<li>Assure staff timesheets submission and filing<\/li>\n<li>Track and monitor staff leaves, sick leaves and absences<\/li>\n<li>Assure the maintenance and updating of individual files<\/li>\n<li>Assure that all required administrative formalities are respected (staff contract registration, social security registration, medical insurance registration, etc.)<\/li>\n<li>Debrief exiting employees and complete end-of-assignment procedures.<\/li>\n<\/ul>\n<p>Assist in Administration Management:<\/p>\n<ul>\n<li>Track and monitor all IRC offices and homes administration and maintenance.<\/li>\n<li>Manage rental agreements for offices and housing.<\/li>\n<li>Monitor renewal and termination of contracts and payments with suppliers, service providers, and lessors and assure that all are done on time.<\/li>\n<li>Assure that all facilities are well functioning, including housekeeping, office supplies, electricity, maintenance and repair, internet and other communications functions in the field office.<\/li>\n<li>Assure proper use and functionality of office equipment.<\/li>\n<li>Maintain proper records of all correspondence.<\/li>\n<li>Track and monitor subscriptions and monthly telephone and Internet communications, and assure that all are paid on time.<\/li>\n<li>Assist the field office ADM\/HR Lead on travel documents processes (visa, ticket, etc.)<\/li>\n<\/ul>\n<p>Monitoring and Reporting:<\/p>\n<ul>\n<li>Prepare and submit weekly and monthly reports recruitment<\/li>\n<li>Prepare and submit monthly report HR<\/li>\n<li>Prepare and submit monthly staff leave accrual<\/li>\n<li>Prepare and submit quarterly the updated \u201cseverance pay\u201d<\/li>\n<li>Prepare and submit monthly rental agreements tracking sheet<\/li>\n<li>Prepare and submit monthly renewal and termination of contracts and payments with suppliers, service providers, lessors tracking sheet.<\/li>\n<li>Other relevant duties as assigned (of a similar nature or related and in the interest of the organization)<\/li>\n<\/ul>\n<p><strong>Requirements<\/strong><br \/>\nEducation:<\/p>\n<ul>\n<li>University degree in a relevant field.<\/li>\n<li>Human resources or administrative qualifications desirable<\/li>\n<\/ul>\n<p>Experience:<\/p>\n<ul>\n<li>1 year of relevant professional experience in administration \/ human resources<\/li>\n<li>Previous experience working with an international NGO in a cross-cultural setting, preferably in the HR sector<\/li>\n<li>Previous team experience and knowledge of team dynamics desirable<\/li>\n<\/ul>\n<p>Skills:<\/p>\n<ul>\n<li>Good inter-personal and conflict resolution skills, able to work under pressure and manage personal stress<\/li>\n<li>Strong organizational and time management skills, team-player but also able to work independently<\/li>\n<li>Able to coach and support others<\/li>\n<li>Excellent verbal and written communication skills<\/li>\n<li>Compassionate, self-motivated, enthusiastic, energetic<\/li>\n<li>Able to cope with basic living conditions during field trips<\/li>\n<\/ul>\n<p>Success Factors:<\/p>\n<ul>\n<li>The successful candidate will combine good understanding of HR and Admin, and a can-do attitude.
