ZOA works in fifteen countries in Africa, Middle East Region and Asia and has approximately 1000 employees worldwide.<br \/>\nWe are recruiting to fill the position below:<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Job Title:\u00a0HR &amp; Admin Officer<br \/>\nLocation<\/strong>: Maiduguri, Borno<br \/>\n<strong>Programme Summary<\/strong><\/p>\n<ul>\n<li>ZOA started setting up operations in Nigeria recently and is supporting IDPs and vulnerable people in Borno state with WaSH and Food Assistance. ZOA operates from its office in Maiduguri.<\/li>\n<li>In the selection of the beneficiaries, we pay careful attention to include the most vulnerable households.<\/li>\n<li>Continuously promoting community governance, inclusion, peace and stability in these fragmented and traumatized communities is a challenging but essential part of ZOA\u2019s programme.<\/li>\n<\/ul>\n<p><strong>Purpose of the Position<\/strong><\/p>\n<ul>\n<li>The HR &amp; Admin Officer is responsible for the human resources and administration systems of ZOA Nigeria in order to support smooth organisational functioning and effective project implementation.<\/li>\n<li>Overall advice and support will be given for HR affairs in all program areas.<\/li>\n<li>The HR &amp; Admin Officer is part of the support team and reports to the Finance &amp; Admin Manager.<\/li>\n<li>The position is based in Maiduguri, Borno State.<\/li>\n<\/ul>\n<p><strong>Key Tasks and Responsibilities<\/strong><br \/>\nHR procedures and systems:<\/p>\n<ul>\n<li>Participate in recruitment and appraisal of ZOA Nigeria staff;<\/li>\n<li>Contribute to the development of efficient and effective HR system, policies and guidelines;<\/li>\n<li>Ensure an efficient and effective HR system is implemented, in line with ZOA Nigeria policies and guidelines;<\/li>\n<li>Review and update ZOA Nigeria salary scale and allowance system when needed to ensure ZOA salaries are comparable to those of similar organizations;<\/li>\n<li>Provide guidance to tax and labor laws, and ensure organizational compliance;<\/li>\n<li>Review and update, as needed the Local HR Policy Manual to ensure compliance with ZOA\u2019s HR Policy and Nigeria labor laws;<\/li>\n<li>Advice and support program offices in all aspects of HR;<\/li>\n<\/ul>\n<p>Other Tasks and Duties:<\/p>\n<ul>\n<li>Work with line managers and coordinate recruitment of qualified personnel, in keeping with labor laws and ZOA guidelines and attend\/support interviews as appropriate;<\/li>\n<li>Coordinate orientation for each local new hire in line with the local HR manual;<\/li>\n<li>In coordination with Finance &amp; Admin, ensure that all guests\/visitors get proper orientation;<\/li>\n<li>Maintain a secure personnel file for each staff according to the ZOA Nigeria HR manual; including an up to date employment contract and clear job descriptions;<\/li>\n<li>Monitor payroll to ensure salary levels are in line with approved salary scale;<\/li>\n<li>Process and track leave application usage and balances for all staff;<\/li>\n<li>Oversee use of timesheets by staff and manage timesheets files for all staff;<\/li>\n<li>Work with supervisors to address personal or performance issues among staff;<\/li>\n<li>Ensure that exit interviews are conducted and documented for all departing staff;<\/li>\n<li>Assess training needs among staff and initiate\/facilitate training events, as appropriate;<\/li>\n<li>Initiate timely action to renew personal visa and permits and renew organisation registration and technical agreements;<\/li>\n<li>Ensure end-of-probation letters are provided to each staff member;<\/li>\n<li>Ensure effective performance appraisal system is maintained;<\/li>\n<li>Ensure all developments with visa and permits are known within ZOA;<\/li>\n<li>Coordinate HR affairs with other organisations (HR Forum or other contacts);<\/li>\n<li>Initiate and implement a routine ZOA Nigeria Staff newsletter to inform, equip, acknowledge and encourage staff members.<\/li>\n<li>Any other duty that is reasonably consistent with the key tasks of the function.<\/li>\n<\/ul>\n<p>External contacts:<\/p>\n<ul>\n<li>Relevant government office;<\/li>\n<li>Labor office;<\/li>\n<li>(I)NGO HR Forum:<\/li>\n<li>(Labor) Lawyer;<\/li>\n<\/ul>\n<p>Internal contacts:<\/p>\n<ul>\n<li>ZOA office and program staff;<\/li>\n<\/ul>\n<p><strong>Competencies<br \/>\n<\/strong>Knowledge\/Experience:<\/p>\n<ul>\n<li>University degree in HR or relevant field;<\/li>\n<li>Proven working experience of 3 \u2013 5 years in human resource management with at least 1 year experience in staff management;<\/li>\n<li>Affinity with development work and International NGO\u2019s;<\/li>\n<li>Excellent in English in reading, writing and speaking;<\/li>\n<li>Excellent in Hausa in reading, writing and speaking;<\/li>\n<li>Good computer skills (Excel, Word);<\/li>\n<li>Good knowledge of the Nigeria labor law;<\/li>\n<\/ul>\n<p>Identity:<\/p>\n<ul>\n<li>The candidate is expected to support the identity, vision, and mission of ZOA<\/li>\n<\/ul>\n<p>Skills\/Attitude:<\/p>\n<ul>\n<li>Good verbal and written communication skills;<\/li>\n<li>Good planning and organizational skills;<\/li>\n<li>Accurate;<\/li>\n<li>Able to communicate difficult news in a clear, concise and professional way;<\/li>\n<li>Can keep information confidential;<\/li>\n<li>Focused on the well being of the employees;<\/li>\n<li>Flexible and adaptable;<\/li>\n<li>Able to work under pressures and meet deadlines;<\/li>\n<li>Ability to work individual as well as in a team;<\/li>\n<li>Ability to work in a multi-cultural setting;<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>How to Apply<\/strong><br \/>\nInterested and qualified candidates should send their CV\u2019s and motivation letters with \u201cHR &amp;
