We are recruiting to fill the position below:<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Job Title:\u00a0Executive Associate<\/strong><br \/>\n<strong>Job Location:<\/strong>\u00a0Maiduguri, Borno<br \/>\n<strong>Job ID<\/strong>: 24017<br \/>\n<strong>Grade: SB3<\/strong><br \/>\n<strong>Vacancy Type:<\/strong> Service Contract (SC)<br \/>\n<strong>Posting Type:<\/strong> Common System<br \/>\n<strong>Bureau:<\/strong> Africa<br \/>\n<strong>Contract Duration:<\/strong> 1 (One) year with possibility of extension<br \/>\nPractice Area \u2013 Job Family<br \/>\nManagement \u2013 Administration<br \/>\n<strong>Background<\/strong><\/p>\n<ul>\n<li>Under the guidance and supervision of the Deputy, Head of Office the Executive Associate is responsible for ensuring the effective delivery of secretary duties by performing, under minimal supervision, the full range of office management and administrative support functions; typically provides direct assistance to senior officers or managers such as a Head of Office consistent with UN rules and regulations<\/li>\n<li>The Executive Associate leads and provides guidance to OCHA\u2019s DHoO, fostering effective collaboration within the teams, with relevant OCHA and UNDP counterparts at Headquarters and in the field, and with other UN agencies, promoting a client-oriented approach and ensuring optimal performance and efficient delivery of services<\/li>\n<\/ul>\n<p><strong>Duties and Responsibilities<\/strong><\/p>\n<ul>\n<li>Management of DHoO\u2019s missions and representation schedule.<\/li>\n<li>Maintenance of rosters of high-level partners, telephone lists.<\/li>\n<li>Preparation of correspondence, directives, comments on behalf of the DHoO for his\/her signature and making follow-up when required.<\/li>\n<li>Use of automated office management systems for effective functioning of the DHoO\u2019s office.<\/li>\n<li>Ensures effective and efficient functioning of the DHoO\u2019s office focusing on achievement of the following results:<\/li>\n<li>Maintenance of the DHoO\u2019s calendar, contacts with high-ranking visitors, arrangement of appointments and meetings, acting as an interpreter when required and\/or taking minutes.<\/li>\n<li>Maintenance of protocol procedures.<\/li>\n<li>Preparation of high quality briefing materials for DHoO\u2019s appointments, meetings, missions.<\/li>\n<li>Preparation of informal translations.<\/li>\n<\/ul>\n<p>Ensures provision of effective communications support to the office focusing on achievement of the following results:<\/p>\n<ul>\n<li>Maintenance of the filing system ensuring safekeeping of confidential materials. Use of automated filing system.<\/li>\n<li>Coordination of the information flow in the office, follow up on circulation files.<\/li>\n<li>Facilitation of information sharing between UNCT and the UN Coordination Unit.<\/li>\n<li>Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to Head of Office.<\/li>\n<li>Screening of all incoming calls and correspondence.<\/li>\n<li>Presentation of proposals to eliminate communication bottlenecks in the office and streamline office procedures between the supervisor\u2019s office and subordinate division.<\/li>\n<\/ul>\n<p>Ensures facilitation of knowledge building and management focusing on achievement of the following results:<\/p>\n<ul>\n<li>Sound contributions to knowledge networks and communities of practice.<\/li>\n<li>Organization of specialized trainings for secretaries.<\/li>\n<li>Organization of trainings to UN staff on coordination, administration and protocol issues.<\/li>\n<\/ul>\n<p><strong>Competencies<\/strong><br \/>\nCore Competencies:<\/p>\n<ul>\n<li>Managing conflict<\/li>\n<li>Learning and sharing knowledge and encourage the learning of others.
