Accountability Lab is a non-profit organization based in Washington DC with a locally registered office in Nigeria. We are recruiting to fill the position below:<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Job Title: Administrative\/HR Officer<\/strong><br \/>\n<strong>Location:<\/strong>\u00a0Abuja<br \/>\n<strong> Terms of Reference:<\/strong> Administrative\/ HR Officer<br \/>\n<strong>Reports to:<\/strong> Accountability Lab\u2019s Country Director<br \/>\n<strong>Duration:<\/strong> Three-month trial period as part of a one-year contract with the possibility for renewal<\/p>\n<p><strong>Position Description<\/strong><\/p>\n<ul>\n<li>The Administrative Officer will coordinate and implement all administrative functions within AL Nigeria.<\/li>\n<li>The Officer will provide support to staff at every level and work with external stakeholders ensure effective organizational operations.<\/li>\n<\/ul>\n<p><strong>Responsibilities<\/strong><\/p>\n<ul>\n<li>Support the Country Director, Project and Finance teams with the implementation of procurement processes and procedures;<\/li>\n<li>Coordinate AL Nigeria engagement with volunteers, interns, and office assistants;<\/li>\n<li>Ensure management of office logistics on a daily basis;<\/li>\n<li>Assist with copying, collating documentation etc.;<\/li>\n<li>Update and manage vendor contracts and Service Level Agreements (SLAs);<\/li>\n<li>Assist in processing vendor, contractor, etc. invoices and payment with the finance team;<\/li>\n<li>Maintain the records of assets and equipment for the office in line with the AL assets recording system;<\/li>\n<li>Ensure that the assets that are issued to staff are authorized, recorded and necessary paper work exists in line with AL Nigeria staff policy;<\/li>\n<li>Undertake stock inventory and update stock report on a regular basis;<\/li>\n<li>Ensure procurement of goods and services for any trainings or projects are carried out according to donor\/ institutional rules and regulations.<\/li>\n<li>Arrange for the repair and maintenance of office equipment and machinery to ensure an efficient\/ effective work environment for staff<\/li>\n<li>Support staff HMO, PENSIONS, Group Life Insurance, NSITF registration and payments;<\/li>\n<li>Manage staff monthly call credit and internet payments;<\/li>\n<li>Introduce new hires to staff;<\/li>\n<li>Develop and implement HR policies, systems and initiatives.<\/li>\n<li>Recruit, train and develop staff.<\/li>\n<li>Payroll preparation with Finance team, pensions\u00a0 administration.<\/li>\n<li>Assist management with disciplinary procedures and\/grievance.<\/li>\n<li>Draft and approve job descriptions.<\/li>\n<li>Organize staff training sessions and activities while developing training and development programs.<\/li>\n<li>Monitor staff attendance\u00a0 and employee performance.<\/li>\n<li>Coordinate travel (local and international) requests;<\/li>\n<li>Coordinate\/assist with logistics for meetings, workshops, conferences, local travel, and other activities;<\/li>\n<li>Ensure on-time travel &amp; logistics arrangement, welfare and support needs of national staff, international staff, visiting guests to Nigeria are met;<\/li>\n<li>Oversee the maintenance and management of the physical office space including environmental cleaning, local transportation, office equipment\/ appliances, and meeting staff office needs;<\/li>\n<li>Prepare administrative reports when needed;<\/li>\n<li>Advise management and employees on employment law, policies and procedures<\/li>\n<li>Administer Employee Handbook and ensure policies are followed and adhered to.<\/li>\n<li>Maintain employee records.<\/li>\n<li>Other duties as may be identified by supervisor as required.<\/li>\n<\/ul>\n<p><strong>Success Factors:<\/strong><\/p>\n<ul>\n<li>Above all, this position requires excellent management, organizational and communication skills. Accountability Lab Nigeria has the potential to grow very quickly and the successful candidate will need to have the energy, vision and knowledge of administration to help us achieve a standard work environment and to use this to improve what we do.<\/li>\n<li>The successful candidate will also need to be able to work within a dynamic and culturally diverse team, embodying the organization\u2019s commitment to accountability, transparency and equity.<\/li>\n<li>We seek a demonstrated record of assuming significant professional responsibility and delivering on administration goals with integrity and humility.<\/li>\n<\/ul>\n<p><strong>Qualifications<\/strong><\/p>\n<ul>\n<li>BA degree in Public Administration, Management, Business, or related Social Science field and 2+ years of experience in relevant roles.<\/li>\n<li>Experience managing administration for non-profit organization in Sub-Saharan Africa in compliance with international standards;<\/li>\n<li>Experience working with\/within donor organizations including close familiarity with admin systems, frameworks, etc.;<\/li>\n<li>Demonstrated competency using Microsoft Word, Excel, PowerPoint and other relevant computer programs;<\/li>\n<li>A pro-active leader, communicator and team player;<\/li>\n<li>Adaptable, resourceful, self-motivated and able to prioritize in a fast-moving environment;<\/li>\n<li>Highly organized and meticulous attention to detail;<\/li>\n<li>Ability to problem-solve both big picture and day-to-day issues;<\/li>\n<li>Exceptional interpersonal skills, and the ability to communicate with clarity and professionalism to all relevant stakeholders (staff and partners);<\/li>\n<li>Commitment to the Accountability Lab\u2019s values of integrity, innovation, humility, practicality, and collaboration<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Job Title: Project Officer<\/strong><br \/>\n<strong>Location:\u00a0<\/strong>Abuja, Nigeria<br \/>\n<strong>Reports to:<\/strong> Accountability Lab Nigeria\u2019s Country Director<br \/>\n<strong>Duration:<\/strong> Three-month trial period as part of a one-year contract<\/p>\n<p><strong>Position Description<\/strong><\/p>\n<ul>\n<li>The Project Officer will be a key member of the Accountability Lab Nigeria team, working to ensure that the Lab\u2019s growing portfolio of projects are managed effectively, efficiently and transparently.<\/li>\n<li>The Project Officer will first and foremost lead the Lab\u2019s efforts to deliver on projects against agreed deliverables and timelines, and support design, planning and reporting against grants.<\/li>\n<li>The Project Officer will also liaise with other key team members to ensure harmonization across the various grant and project-related elements of the Lab\u2019s work including finances, monitoring, evaluation and learning and strategy.<\/li>\n<li>The Lab is a learning organization and it is also expected that the Project Officer will understand and appreciate how to support the Lab to include learning and adaptation into everything it does.<\/li>\n<li>The Project Officer will be a key point of contact for the Lab with donors and partners on issues related to project delivery and will report to the Lab\u2019s Country Director in Abuja who has overall responsibility for internal systems and project implementation.<\/li>\n<li>The Lab\u2019s ongoing projects include Integrity Icon, an Accountability Incubator, SDG 16 Innovation Challenge; to support young people with creative ideas, and #Voice2Rep, a campaign to develop socially-conscious music.<\/li>\n<li>Women, those from minority groups and people with disabilities are strongly encouraged to apply.<\/li>\n<\/ul>\n<p><strong>Qualifications<\/strong><\/p>\n<ul>\n<li>5+ years of experience implementing programs for international donors in Nigeria, including project design, management and reporting;<\/li>\n<li>Experience conducting program trainings and mentoring professionals;<\/li>\n<li>Demonstrated competency using Microsoft Office and other relevant computer programs;<\/li>\n<li>A proactive leader, communicator and team player;<\/li>\n<li>Adaptable, resourceful, self-motivated and able to prioritize in a fast-moving environment;<\/li>\n<li>Highly organized and meticulous attention to detail;<\/li>\n<li>Ability to problem-solve both big picture and day-to-day issues;<\/li>\n<li>Exceptional interpersonal skills, and the ability to communicate with clarity and professionalism to all relevant stakeholders (staff, board, donors);<\/li>\n<li>Commitment to the Accountability Lab\u2019s values of integrity, innovation, humility, practicality, and collaboration.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<p><strong>Responsibilities<\/strong><br \/>\nProject Management:<\/p>\n<ul>\n<li>Support the design, implementation and oversight of Accountability Lab\u2019s projects related to accountability, transparency, youth engagement and citizen participation;<\/li>\n<li>Build relationships with key partners and stakeholders in the projects including donors, communities, the media and other civil society organizations;<\/li>\n<li>Support the MEL team on data collection, synthesis and analysis to ensure projects are meeting goals and are adaptive based on the context;<\/li>\n<li>Work with the Lab\u2019s Finance Officer and Country Director and other staff to ensure project outputs are delivered on time and within budget;<\/li>\n<li>Coordinate project activities to ensure effective implementation including events, trainings and outreach.<\/li>\n<\/ul>\n<p><strong>Reporting:<\/strong><\/p>\n<ul>\n<li>Manage and monitor the Lab\u2019s internal project reporting calendars and processes to ensure accurate and timely submission of proposals, reports and other outputs;<\/li>\n<li>Produce internal progress reports and report to the larger team on a weekly basis on progress;<\/li>\n<li>Act as the key interlocutor with donors on key grants and submit reports, feedback and other information in time and of the highest quality;<\/li>\n<\/ul>\n<p><strong>Learning:<\/strong><\/p>\n<ul>\n<li>Work with the Monitoring, Evaluation and Learning (MEL) Officer to develop log-frames and impact measurement tools for all projects and ensure data is collected against agreed upon goals on an ongoing basis;<\/li>\n<li>Integrate a learning mindset and approach into all projects, ensuring that feedback and data is used to improve activities over time;<\/li>\n<li>Lead trainings where relevant related to project implementation, outreach, community-building and reporting;<\/li>\n<li>Follow-up on monitoring and evaluation findings to ensure that corrective actions are taken and\/or adjustments are made to program and project responses;<\/li>\n<li>Support the Lab\u2019s internal learning and evaluation processes including annual impact and learning reporting and ongoing iterative data collection processes.<\/li>\n<\/ul>\n<p><strong>Success Factors:<\/strong><\/p>\n<ul>\n<li>Above all, this position requires a superb understanding of program design, management, implementation and reporting.
