SI has started activities in North-eastern Nigeria in August 2016 in the fields of Wash and is now intervening in 4 areas of the state for Wash and Shelter activities. We are recruiting to fill the position below:<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><strong>Job Title: Admin Assistant<\/strong><br \/>\n<strong>Location:\u00a0<\/strong>Dikwa, Borno<br \/>\n<strong>Beginning of contract:<\/strong> ASAP<br \/>\n<strong>Contract duration:<\/strong> 6 months (with possibility of extension)<br \/>\n<strong>Probation period:<\/strong> 2 months<br \/>\n<strong><br \/>\nMission<\/strong><\/p>\n<ul>\n<li>At his\/her assigned base level, the administrative assistant supports the administrator in the processing of accounting operations as well as all tasks relating to Human Resources<\/li>\n<\/ul>\n<p><strong>Main Tasks<\/strong><br \/>\nAdministrative management of personnel:<\/p>\n<ul>\n<li>Welcome and participate in administrative briefing of new personnel<\/li>\n<li>Keep an organization chart up to date for the base<\/li>\n<li>Assist the administrative in the organization and conduct of meetings with personnel representatives<\/li>\n<li>Participate in the application of policies relating to salaries and benefits for Solidarit\u00e9s International<\/li>\n<li>Monitor changes in the cost of living.<\/li>\n<li>Assist the administrator for the administrative management of recruitment and hiring<\/li>\n<li>Participate in the organization of training<\/li>\n<li>Ensure archiving and monitoring of individual dossiers and deliver all documents relative to the professional life of Solidarit\u00e9s International employees<\/li>\n<li>Ensure the confidentiality of all HR datas<\/li>\n<li>Participate in the monitoring of work contracts on the base<\/li>\n<li>Collect payment details and integrate them into the Human resources management\u00a0 software (Hom\u00e8re)<\/li>\n<li>Issue pay slips and supervise payment of salaries after approval by the administrator<\/li>\n<li>Calculate taxes and duties and create pay records for the relevant organizations<\/li>\n<\/ul>\n<p><strong>Team Management:<\/strong><\/p>\n<ul>\n<li>Train and support team members under his or her supervision<\/li>\n<li>Ensure the minimal replacement of members of the admin services in case of absence (days of, sickness etc.)<\/li>\n<\/ul>\n<p><strong>Treasury \/ Accounting \/ Management:<\/strong><\/p>\n<ul>\n<li>Supervise the physical maintenance and safety of cash boxes<\/li>\n<li>Keep the registry of cash pay-outs and the cashier\u2019s register<\/li>\n<li>Record budgetary transfers and keep accounting codes<\/li>\n<li>Verify, before recording, that records conform to regulations and procedures of Solidarit\u00e9s International<\/li>\n<li>Translate accounting documents if necessary<\/li>\n<li>Exchange currencies at request of superiors<\/li>\n<li>Verify cash balances daily and report any discrepancies to superior<\/li>\n<li>Prepare monthly closing, revision and integrity of accounts for the base<\/li>\n<li>Issue vouchers, supervise archiving of records<\/li>\n<li>Participate in audits or any checks issued by partners or head office, at the base level<\/li>\n<li>Participate in the consolidation of budget follow ups and cash forecasts at the base level<\/li>\n<li>Monitor due dates for payments of contracts managed by the administrative coordinator<\/li>\n<li>List liquidity needs in concert with the admin coordinator<\/li>\n<li>Carry out pay-outs and advances, within established guidelines<\/li>\n<li>Archive accounting records according to Solidarit\u00e9s procedures after a final verification of receipts etc.<\/li>\n<li>Guarantee security of the cash and confidentiality of information<\/li>\n<\/ul>\n<p><strong>Reporting \/ Communication:<\/strong><\/p>\n<ul>\n<li>Participate in supervision of regulations in effect<\/li>\n<li>Aid admin coordinator in relations with administrative authorities<\/li>\n<\/ul>\n<p><strong>Requirements<\/strong><br \/>\nPersonal Abilities:<\/p>\n<ul>\n<li>Dynamic, organized, methodical, team player, with sound communication skills<\/li>\n<li>Languages: fluent in English and Hausa (additional languages a plus)<\/li>\n<li>Personal qualities: reliable, honest, very good organization, resistance to stress, capacity to delegate and to manage, initiative and autonomy, capacity of prioritisation of tasks, work under tight deadlines<\/li>\n<\/ul>\n<p><strong>Technical Competences :<\/strong><\/p>\n<ul>\n<li>Professional experience: at least 1 year of experience in similar position in administration, human resources and finance especially with INGOs<\/li>\n<li>Bachelor\u2019s Degree in Economics, Management, Administration, HR, Social Science or any related fields<\/li>\n<li>IT skills : Microsoft software practice, sound Excel skills.<\/li>\n<\/ul>\n<p><strong>Salary and Conditions<\/strong><\/p>\n<ul>\n<li>In accordance with SI\u2019s Terms of Employment;
